Rate requests

A rate request is an outgoing message you send to a supplier asking them for rate information. Use it when you need pricing you don't already have — a specific property, a specific season, a tailor-made quote for a client. You can request from suppliers you're already connected to, or from suppliers who don't even have a Tourium account yet.
What you'll see
The Rate Requests page shows your outgoing requests in a list. Each entry has:
- The supplier's name.
- Their email address.
- Your message (shown as a short italicised quote).
- The date sent.
- A status badge — Pending (blue), Accepted (green), Declined (red), or Expired (grey).
Common tasks
Send a new rate request
- Open Rates → Rate Requests.
- Click + Request Rates at the top-right.
- In the dialog, fill in:
- Supplier Name — the lodge, property, or company name.
- Supplier Email — the person to send the request to. Must be a valid email.
- Message — tell the supplier exactly what you're looking for: property names, room types, date ranges, group size. This is required — the Send Request button stays disabled until you fill it in.
- Click Send Request.
A toast confirms "Rate request sent successfully", and the request appears at the top of your list with a Pending status.
Track a request's status
The status badge updates as the supplier responds:
- Pending — you've sent it; the supplier hasn't acted yet.
- Accepted — the supplier has responded with shared rates. Go to Rates → Shared Rates to view them. See Viewing shared rates.
- Declined — the supplier declined the request. Note that declining also blocks future requests from you to that supplier.
- Expired — the request went 30 days without a response and is now closed.
Status changes are live — if the supplier acts while you're on the page, the badge updates without a refresh.
Request rates from a supplier not yet on Tourium
You can. Enter their email address in the request form as normal. Tourium sends them an invitation to join along with your request message. If they sign up, they'll see your request waiting.
What makes a good message
Suppliers respond faster to requests that are specific. Include:
- Property or region. "Looking for rates for Kruger lodges for December 2025."
- Dates. Exact or approximate — "20 Dec 2025 – 3 Jan 2026".
- Party size and room mix. "2 adults, 2 children aged 8 and 12; need two interleading rooms if possible."
- Rate type. "STO/nett rates preferred" vs "rack rates for client quote".
A request that just says "send me your rates please" usually gets a slow response or a polite decline.
Tips
- You can't request rates from your own organisation, and you can't request from an email belonging to another agent. Tourium blocks both with a clear error message.
- Declining a rate request on Tourium is one-way — it blocks you from making further requests to that supplier. If you think the decline was a mistake, contact the supplier directly to sort it out.
- Requests expire after 30 days. If something is urgent, chase the supplier by messaging them directly.
- If Tourium notices your supplier email has a typo, it suggests an existing account at the same domain — double-check before sending.
