Tourplan Rate Sync

Tourplan Rate Sync pushes the rates you manage in Tourium straight into your Tourplan system, so nobody re-keys a rate sheet twice. You keep loading and confirming rates in Tourium exactly as you do today; once a rate is confirmed, one click sends it to Tourplan as a rate update.

This is the agent edition of the integration. Suppliers have their own version of the same feature at a different price — see Tourplan Rate Sync for suppliers. Each account only ever sees the edition sold to its own account type.

It requires the Rates Engine, because the rates it pushes are the ones in your managed inventory — without that add-on there is nothing to sync. Selecting Tourplan Rate Sync switches the Rates Engine on for you if you do not already have it.

What it costs

Tourplan Rate Sync is billed per seat, and the first seat costs more than each additional one:

So 3 seats is R2,499 + R749 + R749 = R3,997/month, not 3 × the first-seat price. Prices are VAT-inclusive and may change — the Billing page always shows your actual total before you confirm anything.

This is on top of the Rates Engine, which is billed on the size of your inventory.

Seats are separate from your plan's ordinary team seats, which cover logging in and using the rest of Tourium.

A seat is not only a licence: it is what attributes a load. Every push is recorded against the person who made it, which is the whole point of the sync history below. That is why an unseated team member cannot sync even in an organisation that holds the module.

Before you start

You need three things from Tourplan (not from Tourium). If you already use Tourplan's productConnect for another integration, your Tourplan administrator will have these on file; otherwise contact Tourplan support to have productConnect enabled:

  • Endpoint URL — the web address of your Tourplan productConnect installation. It is unique to your Tourplan system, so there is no general link to look up.
  • Username and password — a Tourplan login that has been granted productConnect access.
  • (Optional) Supplier code — a 6-character Tourplan supplier code, used for display.

Enabling productConnect and issuing the login go together. A URL without an enabled login will not connect, so ask Tourplan for both at the same time.

Turning it on

  1. Go to Billing and find Tourplan Rate Sync in the Add-Ons list.
  2. Switch it on. A dialog asks you to choose the team members who should get a seat, and shows what your add-ons will come to per month before you commit. If this is your first paid add-on you will be taken through a short checkout that sets up billing for it.
  3. Confirm. Integrations → Tourplan appears in the sidebar for seat-holders.

You can also enable it during signup — the agent guided setup has a Tourplan step where you pick the seat-holders and enter your connection details.

Switching the add-on off removes all seats immediately and stops its billing from your next cycle. Your Tourplan credentials, mappings and sync history are kept in case you re-enable it.

Connect, map and sync

The working steps are the same as the supplier edition, and are documented once so the two never drift apart:

Your credentials are stored encrypted and are never shown back on the page — only whether a connection is configured.

The sync history

Integrations → Tourplan → History is the agent edition's own surface: a paginated record of every load, showing who pushed what, to which property and option, when, and how Tourplan answered.

Filter it by person, property, outcome and date range, or search it. Filtering happens on the server, so a filter applies to the whole history rather than only the page you are looking at.

What you see depends on your role. A team member sees their own loads; owners and admins see everyone's. That split is deliberate — the history exists so a manager can answer "who loaded this rate", and a consultant can check their own work, without turning it into a general surveillance screen.

Who needs what

Three separate questions decide who can do what: does the organisation hold the add-ons, do you hold a seat, and which permission do you have.

Reading is deliberately not behind integrations.manage: gating the whole page on it took away a team member's view of loads they made themselves. Managerial roles bypass the permission checks and the seat requirement, so an owner always has access.

Good to know

  • One sync sends one rate for one date range. Rates with multiple seasons are pushed per season.
  • The current release covers accommodation property rates. Service and activity rates are not synced yet.
  • Losing the Rates Engine closes the Tourplan pages even while the Tourplan add-on is still held — the two entitlements are checked independently, because they can lapse independently.
  • Seat charges appear on the Billing page as an add-on line item, and one-off prorated charges show under On-demand charges on the Invoices page.
