Selling prices and pricing rules

The Pricing area is where your agency decides what it sells at. A supplier's rate is what you pay; a selling rule says what you add on top. Tourium applies the same rules everywhere a rate turns into a price — your quotes, the Rate Manager and Touri — so a consultant never has to work out a markup by hand and two people never quote the same room at two different prices.

You set the policy once, here. Consultants then quote from it, and anything they change outside the limits you set is either flagged to a manager or held for approval.

Who can use it

  • The Pricing pages are for agents only, and only while the Rates Engine add-on is on.
  • You need the Manage pricing permission. Owners and super admins have it automatically. It is not part of the Admin role's default permissions, because it also decides who may see your cost and margin — give it deliberately on the Team page.

How a rate becomes a selling price

For every rate, Tourium works out:

  1. Your cost — the net rate when there is one, or the rack rate less your commission.
  2. The rule that applies — the most specific rule that matches (see below).
  3. The exchange rate, if the supplier's currency is different from the one you sell in, plus your exchange buffer.
  4. Rounding, to the increment you chose in Settings.

If no rule applies at all, a rate with a rack price sells at rack, unchanged. Levies and taxes are never marked up (see Levies and taxes).

Selling rules

The Selling rules page lists every rule your agency has. Each rule has:

Setting What it means
Applies to How wide the rule goes: Organisation default, Supplier rule, Property rule or This rate.
Rule What it does to the rate: Add %, Multiply by (1.15 is the same as +15%), Add amount or Subtract amount. An amount is in a currency you choose.
Base rate Whether the rule works from the rack or the net rate. Left blank, it reads Net when there is one.
Travel dates Optional From and To dates. Leave both blank and the rule applies Always.
Rate type Optional — for example special, so the rule only touches special rates. Blank means all.
Type Optional — Accommodation, Activity, Transfer or Service. All types by default.
Name A label so you can recognise it later, e.g. "Kwando STO rates".

To add one, click New rule, choose how wide it goes, pick the supplier or property if it needs one, set what it does, and save. Rules for a single rate are made from the Rate Manager rather than here, because that is where you can see the rate you are pricing; you can still edit them on this page.

The most specific rule wins

When more than one rule could price a rate, the narrowest one wins: this rate, then property, then supplier, then the organisation default. The Specificity column shows the order, so you never have to guess which rule is in charge.

Two rules may not cover the same thing on overlapping dates. If you try, Tourium refuses and tells you which existing rule you have clashed with. Change the dates on one of them, or edit the existing rule instead.

If a rule works from a base the rate does not have — for example a rack-based rule on a rate with no rack price — Tourium skips it and tries the next most specific rule.

Your organisation default

If you set a default markup during the agent guided setup, it becomes your Organisation default selling rule, so you start with a working rule rather than an empty page. Edit it here like any other rule.

Deleting a rule

Use the menu on a row and choose Delete. Tourium asks you to confirm first. The rates that rule priced fall back to the next most specific rule. Quotes already sent keep their prices — a change to your rules never rewrites a quote the client already has.

Levies and taxes

Every agency has two locked rules, Levies and Taxes, marked with a lock. They keep park fees, tourism levies and taxes at cost: they are never marked up, and a whole-quote discount never comes off them. You can change their name and dates, but not what they do.

Rules that have lost their rate

When a supplier joins Tourium and their own rates replace a copy you had uploaded yourself, Tourium moves your rules and commission across to the supplier's matching properties and rates. If it cannot find a match, the rule is set aside rather than guessed at, and a warning appears at the top of the page: "These rules have lost the rate they were written for".

For each one, choose Reassign to point it at the right rate, or Remove to delete it. A rule left here is not pricing anything.

Commission

The Commission table, below your rules, shows what you earn on each supplier's rack rates.

Commission matters because it is how Tourium knows your cost on a rack-only rate. Without it, a rack-only rate has no known cost. A net-based rule (the default) has nothing to work from, so the rate falls through to a rack-based rule if you have one, or sells at rack — and no margin can be shown for it.

Commission can be set at three levels, and the most specific wins:

  • Everything from this supplier — the usual case. For a supplier you have an STO agreement with, this defaults to the discount in that agreement.
  • Every rate at this property
  • Just this rate

The Where it came from column shows whether the figure came from the Supplier agreement or was Entered by you. Commission is set from the Rate Manager (click Not set or the commission figure in a row). On this page you can remove it — Tourium asks first, because removing a commission takes the known cost away from every rack rate it covered.

Settings

Pricing settings are policy for the next quote. A sent quote keeps the exchange rates, buffer and rounding it was priced with.

Money

Setting What it does
Currencies you sell in The currencies your agency quotes in.
Exchange rates Fetched daily (the default) or Typed in by hand.
Exchange buffer % Added to the exchange rate to absorb currency movement between quoting and paying.
Round selling prices to Don't round, or 1, 5, 10, 50 or 100. The default is 1.
Rounding direction Up (the default), Down or Nearest.
Quotes stay valid for (days) How long a quote is valid from the day it is sent. The default is 14.

Control

Setting What it does
When a consultant goes past their limit Hold it for approval (the default): the price is saved, but the quote cannot be sent until a manager answers. Allow it and tell a manager: the price goes through and everyone with Manage pricing gets a notification.
Consultants can see cost and margin Off by default. When off, only people with Manage pricing see what you pay and what you keep — on quotes, in the Rate Manager and in the pricing reports.
Flag a price this far from cost (%) A safety net for a mistyped rate. A selling price further from cost than this is flagged with Check this price. It never blocks anything. The default is 30%.

Exchange rates

The Exchange rates table shows each currency pair, the rate, whether it was Fetched or Pinned, and when it was last updated.

  • Refresh from source fetches the latest rates now instead of waiting for the daily refresh.
  • Pin a rate: choose From and To currencies, type the rate and click Pin this rate. A pinned rate is used exactly as typed and the daily refresh never overwrites it — use it for a contracted rate.

If a quote needs a currency pair you have no rate for, the line cannot be priced and the quote cannot be sent until you add one.

Override limits

The Override limits table sets, per role, how far a consultant may move a price on their own:

Limit Meaning
Max discount % The most they may take off the rule's price.
Max increase % The most they may add to the rule's price.
Min line margin % The lowest margin a single line may be left at.
Min quote margin % The lowest margin the whole quote may be left at.

A blank box means no limit, never zero. Owners, super admins and anyone with Manage pricing are never limited. What happens when someone goes past a limit is decided by the When a consultant goes past their limit setting above.

Approvals

When a consultant prices a line — or discounts a whole quote — outside their limits, and your agency holds such prices for approval, it lands here. Each entry shows Requested by, the Quote, the Line (or "Whole quote — N% off"), Why (the consultant's reason and which limit was passed), and a Status of Pending, Approved or Rejected. Pending entries are listed first.

  • Approve lets the price stand, and the quote can be sent.
  • Reject puts the line back to the rule's own price (or removes the whole-quote discount).
  • Either way you can add a Note for the consultant.

Everyone with Manage pricing is told as soon as a price needs approval, in Tourium and by email. The consultant is told the answer the same way.

While a price is waiting, the quote shows the line at the rule's price, not the requested one, and the quote cannot be sent. If the consultant changes the line again, the waiting request is cancelled — an approval only ever covers the exact price it was asked about.

History

Sidebar → Rates Engine → Pricing → History

Pricing history records every change to a rule, a commission, a setting or a price, with who made it and when. Entries are never edited or removed.

Use the search box to find a person, change or detail, filter by Change (the kind of change) or Dates, and read the Detail column to see which quote it concerned, which fields changed and from what to what, and any limit that was passed.

Good to know

  • A price is never stored on a rate. Change a rule and every rate it covers follows; sent quotes do not.
  • Rack sells at rack when nothing else applies. If you want to sell some rack rates higher or lower, write a rule with Base rate set to rack.
  • Switching the Rates Engine off hides the Pricing pages. Your rules, commission and settings are kept and come back when you switch it on again.
