Shared documents

For: Agents Where to find it: Sidebar → Partner Documents

The Partner Documents page is a central library of every non-rate document your connected suppliers have made available to you. Brochures, fact sheets, photos, videos, menus, floor plans, presentations — anything they've uploaded. Think of it as your go-to reference when you're putting together a proposal.

Behind the scenes, Partner Documents shows you the files from each supplier's Shared Library that they have chosen to share with you. Suppliers set an audience on each file and folder, so what you see here is a curated selection, not their whole library.

What you'll see

At the top of the page:

  • Stat cards showing the total number of suppliers you're getting documents from and the total number of files available to you.
  • A filter bar with a search box, supplier dropdown, file type dropdown, date range pickers, and a grid/list view toggle.

Below the filters, the documents themselves — either as a grid of thumbnails (for photos and videos) or as a list of rows with columns for name, supplier, type, size, and modification date.

Common tasks

Search for a file

Type a filename or keyword into the Search files... box. Results update as you type.

Filter by supplier

Open the Supplier dropdown and pick a specific supplier. The list narrows to files from that supplier only. Pick All Suppliers to reset.

Filter by file type

Open the File Type dropdown to show only one kind of file — Image, Video, Document, Spreadsheet, Presentation, or Archive.

Filter by date range

Use the From Date and To Date pickers to show only files modified within a period. Useful when you know a supplier updated their fact sheet "last month" but can't remember which one.

Preview a file

  • In grid view, double-click a thumbnail. Images and videos open in a preview modal; PDFs open in your browser's viewer.
  • In list view, click View on the row.

Download a file

  • In grid view, right-click a thumbnail and choose download, or click the download icon if visible.
  • In list view, click the download icon on the row.

The file downloads to your device. Some file previews also include a download button inside the preview modal.

Switch between grid and list

Click the grid or list icon at the top-right of the filter bar. Your choice is remembered for this session.

Clear filters

When any filters are active, a Clear filters button appears. Click it to reset every filter to the default.

What you can see

A supplier's file reaches you in one of four ways. You don't need to do anything for any of them:

  • They shared it with everyone they're connected to.
  • They shared it with you specifically.
  • They shared it with a connection list you're a member of.
  • It's a supporting file attached to a rate sheet they shared with you — a fact sheet, or property and room images. Those arrive when you accept the share.

Files a supplier hasn't shared with you are completely invisible. You won't see a greyed-out row, a locked icon, a filename, an item count, or an empty folder, and they never appear in your search results. There's no "request access" button either — if you think something is missing, ask the supplier directly and they can share it with you.

Why files appear and disappear

Access is checked every time you open the page, so the list tracks whatever the supplier does:

  • A supplier adding you to one of their connection lists can hand you a batch of files at once.
  • A supplier removing you from a list, or deactivating it, takes those files away again.
  • Accepting a shared rate sheet brings its fact sheet and images with it; if the supplier revokes that share or deletes the rate sheet, those files go too.
  • A supplier narrowing a file's audience removes it from your view immediately.

Nothing here is a fault. If a document you used last month has gone, the supplier has changed who it's shared with — message them if you still need it.

What's not here

Partner Documents is for everything that isn't rates or contracts.

Tips

  • You only see documents from suppliers you're connected to, and only the ones they've shared. If the page is empty, check your network has active connections — see Network directory — and if a specific supplier shows nothing, they simply haven't shared anything with you yet.
  • Download anything you rely on for a proposal. A supplier can change who a file is shared with at any time, and it will vanish from this page when they do.
  • Your own uploads are not affected by any of this. Files you upload to your own library stay private to your agency, and you don't need to set any sharing on them.
  • Use the supplier filter when you're building a proposal for a single lodge — it's faster than scrolling a long list.
  • Large images download slowly. If you're on mobile, stick to the preview unless you specifically need a local copy.
  • Previews use short-lived links, so if you copy a URL and come back later it may no longer work. Download rather than bookmarking.
