Filling gaps from a website

For: Suppliers, and agents who manage their own properties and services Where to find it: Open a property or service provider — on the rate review screen or in Supplier Tools → Properties & Services — and look for the Fill the gaps from the website panel just under its name Who can use it: Team members with the Manage properties & services or Manage rates permission

Rate sheets rarely say everything. A lodge's star rating, exact address, room count or children policy is often on its website rather than in the PDF. Instead of copying it across by hand, paste the website into Tourium and let it read the site for you. You then pick which of the findings to keep — nothing changes until you apply it.

What it reads

  • For a property — star rating, location, room types, rates, seasons, park fees, policies and activities.
  • For a service provider — services, routes, vehicles, price tables, operating areas and policies.

Common tasks

Scan a website

  1. Open the property or service provider.
  2. In Fill the gaps from the website, paste the website address. If the property already has a booking link, the box is filled in with it for you.
  3. Click Find data.

Reading a website can take a minute. You can carry on editing while it works, and you can leave the page — the results are waiting when you come back to the same property or service. You also get an in-app notification when it's done: Website data ready if something was found, or Website scan finished if there was nothing new.

Review and apply what was found

  1. Click Review what we found. A panel opens: What we found on the website, grouped into sections such as Details, Location, Contact, Policies, Rooms & rates, Services and Activities.
  2. Each row shows what you have now (Currently) next to what the website says (Found on the website), with a badge:
    • Fills a gap — you had nothing here.
    • Replaces — the website disagrees with what you have.
    • Adds to yours — the website's text is combined with yours rather than replacing it.
    • Kept yours — your existing text was judged better, so there's nothing to apply.
    • Not checked — Tourium couldn't compare it with yours, so it left yours alone. Rooms and services are marked New room / Update existing room or New service / Update existing service.
  3. Tick what you want. Anything that would replace something you already have starts unticked, so you have to opt in to overwriting your own data. Longer text (like policies) is compared with yours first — you'll see a short "Comparing the longer text…" message while that happens.
  4. Click Apply N changes, or Close without applying.

Applied changes land in the form just like edits you make yourself. On the rate review screen they're part of your draft; in Properties & Services they become unpublished changes and go live when you click Publish — including a service's Price table read from the website. See Graph editor.

Reviewing is one-off: once you close the panel, it goes back to the website box. The box keeps the address you scanned, so scanning again is one click. If you'd rather throw the results away without looking, click Discard these findings.

When a scan finds nothing, or fails

  • "We read that website but found nothing we could add." The panel also tells you how many pages it read (Read 1 page, Read 12 pages). A scan only reads the part of the site under the address you paste, so if it read just one page it suggests pasting the page where the rooms or rates actually are and scanning again.
  • "Everything we found already matches what you have." Nothing to do — your details are already complete.
  • "We couldn't read that website." Check the address is correct and the site is publicly reachable (not behind a login).
  • "The website took too long to read." Very large or slow sites can time out. Try pasting a more specific page.

Scan limits

Website scans are limited, and when a limit is reached the panel says so plainly instead of blaming the website:

  • Daily allowance — "Website scans are paused for today because this workspace has used its daily allowance." Try again tomorrow, or contact us if you need it sooner.
  • Weekly budget — "Website scans are paused while our scanning budget resets for the week. The website you entered is fine…" Try again in a day or two.
  • Temporarily unavailable — "Website scans are temporarily unavailable on our side — the website you entered is fine." We're alerted automatically. You may also see a Website scans unavailable notification. Nothing else in Tourium is affected.

Tips

  • Paste the most specific page you can. The page listing rooms and rates gives far better results than a home page.
  • Look at the Replaces rows before you tick them. The website may be out of date, and your rate sheet is usually the more reliable source for prices.
  • Scan once per property and review it properly, rather than scanning the same site repeatedly.
