Incoming rate requests

Agents can ask you directly for rate sheets through Tourium. These show up on the Incoming Requests page as something that needs your attention. You can accept a request (and pick which rate sheets to send back) or decline it.

What a rate request looks like

Each incoming request shows:

  • The agent's name and organisation.
  • Their email address.
  • When the request was sent.
  • An optional message from the agent — they usually say what they're looking for ("pricing for Phinda in December", "STO rates for the 2025 season").
  • A status badge — pending, accepted, declined, or expired.

The page also has a hero card showing how many requests are waiting for action, so nothing gets lost.

Common tasks

Browse your requests

  1. Open Rates → Incoming Requests in the sidebar.
  2. Use the status filter at the top to show Pending (default), All, or any other status.
  3. Search by agent name if you have a lot of requests.

Accept a request and send rates

  1. Find the pending request.
  2. Click Share Rates on the request card.
  3. A dialog opens showing a checkbox list of every completed rate sheet in your account.
  4. Tick the rate sheets you want to send (you can send more than one).
  5. Click Send.

The agent receives a share record and an email notification. The request's status changes to accepted and it moves out of your "needs action" count.

Decline a request

  1. Click Decline on the request card.
  2. Confirm the warning: "Decline this request? This supplier will be blocked."
  3. The request is marked declined.

Declining is permanent and blocks the agent. Once you decline, they won't be able to send you another rate request. If you decline by accident, you'll need to contact support to unblock them — there's no undo button in the UI.

What happens to requests you don't act on

Rate requests automatically expire 30 days after they're sent. Expired requests show a grey Expired badge and can't be acted on — you'd need the agent to send a new request.

Tips

  • Respond quickly to pending requests. Agents usually send requests while building an itinerary, and a late reply means you've missed the opportunity.
  • If an agent's message is unclear, open a conversation with them in Messaging before responding — you can clarify what they need and then come back here to send the right rate sheets.
  • You can only send completed rate sheets. If the rates they're asking for haven't been uploaded or are still in review, finish that first.
  • If an agent has signed up since sending the request, the system automatically links them up — you don't need to invite them separately.
