Sharing rates

Once a rate sheet is uploaded, reviewed, and approved, the next step is getting it in front of agents. Tourium lets you share a rate sheet with specific agents, with a curated list of connections, or with everyone you're connected to — all in the same dialog.

When you can share

You can only share rate sheets that are in the completed (or reviewed) status. Rate sheets still extracting, waiting for review, or in processing can't be shared — the Share button is disabled until they're ready.

Common tasks

Share with all connected agents at once

  1. Open Rates in the sidebar.
  2. Find your completed rate sheet and click Share.
  3. In the share dialog, click Share with all connections at the bottom.
  4. Confirm.

Tourium creates a rate share record for every agent you're connected to, sends them an email notification, and the rate appears in their Shared Rates list. A toast confirms ("Shared with X agents") when it's done.

Share with specific agents

  1. Click Share on the rate sheet.
  2. In the share dialog, search your connections and connection lists and tick the recipients you want. The search box matches on organisation name, contact email, and country, so agents with similar names are easy to tell apart.
  3. To reach someone who isn't in your connections, type or paste agent email addresses into the email box. Separate them with commas or put each one on a new line.
  4. Click Add (or press Enter).
  5. Tourium validates each email:
    • Already-registered agents show up with their name.
    • Unregistered emails show as "Agent (pending)" — they'll be invited.
    • Blocked agents show a warning.
  6. Review the list of recipients.
  7. Click Confirm & Share.

Agents on the list get an email notification and see the rate sheet in their Shared Rates.

Track who you've shared with

The rate sheet's card shows a "Shared with X agents" count. Open the rate sheet's detail view to see the full list of recipients, each with:

  • Agent name and email
  • Status — accepted, pending, or invited
  • Last response date
  • A Revoke button

Review everything you've sent out

The Outbound shares page lists every rate sheet you've sent, across all documents, with search (by agent name or email) and filters for Status and whether an agreement is required. Each share shows where it stands end-to-end:

  • Declined — the agent declined the STO agreement attached to the share.
  • Awaiting signature — the share is waiting on the agent to sign the agreement.
  • Extraction in progress — signed (the PDF is visible to the agent), but rate extraction hasn't finished, so Touri Chat can't quote it yet.
  • Live (full access) — fully available to the agent.

Revoke a share

Click Revoke on any row in the share list. The agent loses access to the rate sheet — and to any fact sheet or images attached to it — immediately. There's no notification sent to them. Revoking is one-way — if you change your mind, you'll need to share again.

Supporting files that travel with a rate

A rate share isn't only the rate sheet. Any supporting files attached to it are shared with the same agents, and only with them:

  • The fact sheet attached to the rate sheet.
  • Property, room type, and service images you add on the rate review screen.

These files sit in your Shared library and show Shared rate as their audience. Their access follows the rate share automatically:

  • An agent you invited by email gets access the moment they sign up and accept — you don't share anything again.
  • Revoke the rate share and the supporting files disappear from that agent's view along with the rate sheet.
  • Delete the rate sheet and that access ends for everyone it was granted to.

Attaching a file you already have

When you pick an existing library file as a fact sheet, the rate's agents are added to whoever could already see it. Nothing is taken away — a brochure already shared with all your connections stays shared with all your connections. The same file can be the fact sheet on more than one rate sheet.

If you want to narrow who sees that file afterwards, change its Who can view setting in the Shared Library.

Share statuses explained

  • Accepted — the agent is already connected to you. They can see the rate sheet immediately.
  • Pending — the agent exists on Tourium but isn't connected to you yet. The rate sheet waits until they accept the connection.
  • Invited — the email isn't linked to an existing account. Tourium creates a placeholder and sends a signup invitation. Once they join, they'll see the rate sheet.
  • Skipped — something blocked the share. The most common reason is that the agent has blocked your brand (for example, after previously declining a rate request).

If a share is pending and the agent later accepts the connection, it automatically becomes accepted without any action from you.

Tips

  • Be careful with "share with all connections" on a very broad network. Targeted shares to the right agents get more engagement than broadcasts.
  • Typos in email addresses cause shares to fail on delivery but may not be flagged up front — double-check before confirming.
  • If an agent has declined a rate request from you in the past, you can't share with them until they unblock your brand.
  • Revoking a share does notify nobody — if you've accidentally shared the wrong sheet, revoke immediately but expect awkward emails anyway.
