STO agreements

STO agreements (sometimes called service-level, partnership, or STO contracts) are the legal paperwork between you and the agents who sell your product. Tourium lets you build a template once, place signature fields on it, send it out to agents for electronic signing, and keep track of who has signed, who's pending, and who's declined. Signing is handled through SignWell, the platform Tourium integrates with for e-signatures.

The vocabulary

You'll see four closely related terms in this section:

  • Agreement (or template) — the reusable master document you create.
  • Submission (or signing request) — an agreement sent to one specific agent. Each agent gets their own submission.
  • Contract — a submission that has been successfully signed. Once signed, it's immutable.
  • Signing Request — the supplier's name for a submission that's out for signature.

Common tasks

Create an agreement template

  1. Open STO Forms → Agreements.
  2. Click New Agreement.
  3. Upload your contract as a PDF. Name it (for example, "Standard 2025 Partnership Agreement") and add an optional description.
  4. Choose who this template is for — specific agents or any agent.
  5. Save to move on to field placement.

Place signature fields

Before you can send the template to anyone, you have to tell Tourium where the agent should sign on the PDF:

  1. Open the template.
  2. Drag signature, date, and initial fields onto the appropriate spots on the PDF preview.
  3. If the template has more than one signer (you and the agent, for example), assign each field to the correct signer role.
  4. Save.

Once fields are assigned, the template is ready to send.

Send an agreement to agents

  1. From the template detail page, click Send to Agents.
  2. Pick agents from your connections (you can multi-select) or type in an email address.
  3. Optionally write a short message that goes in the invitation email.
  4. Click Send.

Each agent receives an email inviting them to sign. A submission is created for each one, starting in the pending status.

Track your submissions

Open STO Forms → Signing Requests for the full list. The page has four tabs along the top so you can filter by state at a glance:

  • Active — submissions still in play (pending or invited).
  • Terminated — submissions you cancelled.
  • Expired — submissions that went past their deadline.
  • Declined — submissions the agent refused.

Each row shows the agent, status, date sent, expiry, and actions. Submission statuses you'll see in the Active tab:

  • Pending — sent but the agent hasn't opened it yet.
  • Invited — agent has been invited, hasn't signed.
  • Signed — complete. The contract is binding (moves out of Active).

Available actions per submission:

  • View — open the submission details and preview the document.
  • Resend — re-send the invitation email if the first one was missed.
  • Cancel — terminate a submission you no longer want signed.
  • Download — get the signed PDF once it's complete.

Get a copy of a signed contract

Once a submission is signed, use the Download action on the Signing Requests row to get the signed PDF with its full signing history. That's your permanent record.

What signers see when a submission has ended

If anyone opens a signing link for a submission that's expired, declined, cancelled, terminated, or already complete, they see a dedicated status screen explaining why it can no longer be signed (e.g. "This agreement has expired — the signing window for this agreement has passed, so it can no longer be signed") rather than the signing window. For expired submissions, the screen tells the signer to ask you for a new copy — use Resend or send a fresh submission.

Tips

  • Place every signature field before you send. You can't edit fields after the template is sent to agents.
  • Keep templates short and reusable. If you need meaningfully different terms for different agent segments, create separate templates and name them clearly.
  • Give submissions a sensible expiry. Too short and agents miss it; too long and you lose track.
  • Declining isn't the end of the conversation — you can re-send the template later, but the agent will see the earlier decline in their history.
  • SignWell runs the actual signing experience. If an agent has trouble with the signing window, ask them to check their browser (ad blockers sometimes block the embedded signer).
